Receipt OCR fields every expense report should keep
Which receipt fields matter most when you want OCR output that finance can actually review.
Receipt OCR should produce records that a finance person can review without opening every file again. The goal is not to capture every printed word. The goal is to keep the fields that decide whether an expense is real, payable, and ready for export.
Core fields to extract
- Merchant or supplier name
- Invoice or receipt number
- Transaction date
- Original currency
- Original amount
- Tax amount when visible
- Payment method when visible
- OCR confidence or review status
The invoice number matters because it is often the strongest duplicate signal. The date and amount matter because they anchor the transaction. Currency matters because the same number means different things across markets.
Keep source values visible
Do not overwrite the original receipt amount after conversion. Keep the source amount, source currency, converted amount, exchange rate, and base currency in separate columns. This makes the export easier to audit.
