Recommended CSV columns for receipt OCR, duplicate checks, currency conversion, and a cleaner accounting handoff.
A receipt ledger should be boring in the best way. Each column should answer a review question, support an accounting handoff, or preserve the original source.
Recommended columns
- Record ID
- Merchant
- Invoice number
- Receipt date
- Original currency
- Original amount
- Base currency
- Converted amount
- Duplicate status
- Review status
- Source file reference
- Notes
This structure works because it separates what the receipt says from what the finance workflow decides.
Add export rules
The clean export should include ready rows and exclude duplicate rows. Needs-review rows can stay in the workspace until a person resolves them.
Keep notes short
Notes are useful for exceptions: unclear supplier, missing date, manual currency fix, or reimbursement context. If every row needs a paragraph, the workflow is probably asking for too much manual cleanup.
